About the Role
​

Kapwa Ko Mahal Ko Foundation is seeking a reliable, highly organized, and detail-oriented Admin & Finance Officer to support the administrative and financial operations of the Foundation and its public service television program.

This is a full-time, on-site, project-based role based in Quezon City. The position supports all operational aspects of foundation administration and finance, including office administration, payment processing, expense monitoring, payroll documentation, transaction recording, and compliance with government regulatory requirements, under the direction of management and external auditors.

The Foundation is actively working toward international foundation standards in governance, financial controls, documentation, and reporting. This role contributes directly to that transition by ensuring disciplined, accurate, and compliant administrative and financial processes.

The role requires strong organizational skills, confidentiality, attention to detail, and the ability to work independently as well as collaboratively, while managing multiple deadlines and workflows simultaneously.

Participation in Foundation activities (Kapwa activities) is encouraged to provide context and understanding of how funds, programs, and operations connect on the ground.

What you’ll be doing

Administrative responsibilities
  • Oversee and support day-to-day office administration and internal coordination
  • Maintain organized physical and digital filing systems for administrative and financial records
  • Ensure timely preparation, routing, and completion of administrative documents
  • Coordinate with internal teams to support smooth office operations
  • Monitor deadlines and ensure timely submission of required documents and reports

Financial & compliance responsibilities
  • Support end-to-end administrative and financial operations of the Foundation
  • Process and document financial transactions, including but not limited to:
    • Payments and disbursements
    • Expense claims and reimbursements
    • Payroll-related documentation
    • Financial transactions and supporting records
  • Prepare, organize, and maintain financial records, vouchers, and supporting documents
  • Monitor expenses and assist in financial tracking and reporting
  • Ensure compliance with government regulatory requirements and internal financial controls
  • Assist in audit preparation and coordination with external auditors
  • Coordinate with external partners, suppliers, banks, and service providers
  • Use and maintain records within ERP systems (i.e., NetSuite), as applicable
  • Work with Google Workspace tools (Sheets, Docs, Drive) for tracking, reporting, and coordination

What we are looking for

  • Graduate of Accounting, Finance, Business Administration, or related field
    (or equivalent office experience with strong administrative and financial exposure)
  • Experience or working knowledge of ERP systems (i.e., NetSuite)
  • Proficiency in Google Workspace tools (Sheets, Docs, Drive)
  • Highly organized, detail-oriented, and able to manage multiple tasks and deadlines
  • High level of integrity, accuracy, and confidentiality
  • Able to work independently and as part of a team
  • Dependable and able to follow established procedures and controls
  • Comfortable working on-site and collaborating closely with internal teams
  • Willingness to learn and grow within a mission-driven organization working toward international foundation standards
  • Willingness to participate in or support Foundation activities as appropriate (non-mandatory)

Work arrangement & compensation

  • Work arrangement: On-site (Quezon City)
  • Employment type: Full-time, Project-based
  • Salary range: ₱20,000 – ₱25,000 per month
